Our client is a locally-based company that serves enterprise needs in the IT Network and Infrastructure industries. The incumbent will be directly supporting the General Manager.
【What you will be working on】
・Act as the point of contact between General Manager and internal/external customers (including overseas)
・Screen, direct emails, phone calls and distribute correspondence
・Handle requests and queries promptly and appropriately
・Manage calendar, schedule meetings & travel arrangements
・Take dictation and minutes
・Filter key elements & summarise documents
・Produce reports, presentations and briefs
・Devise and maintain office filing system
・Daily office administration, office supplies, upkeep of general workspace and facilities.
・Manage Incoming & Outgoing mails, parcels and related items
・Contactable during after-office hours and weekends to respond/attend to urgent matters
・Manage both office and offsite manpower attendance list as a COVID-19 coordinator and send latest updates of COVID developments and other relevant information to all staff
・Identify opportunities to continuously improve the company’s performance
【What they're looking for】
・Minimum ITE or Tertiary Education.
・Minimum 1 year of experience as Admin/Secretary/Personal Assistant
・Able to use Japanese (JLPT N2) to liaise with business partners in Japan
・Good experience with MS Office. Experiences with CPQ, ERP, CRM or SCM are a plus
・Excellent organizational and multitasking skills
・A team player with a high level of dedication
・Ability to work under strict deadlines & extended hours, if any
